Good experiences begin with clear care arrangements. Here is what families should know and confirm before a Yangzhou winter camp.

Adult supervision & handovers

Know who is responsible and where a child can find help.

Confirm named leaders, responsibilities, staffing ratios, night-time cover and arrival/departure handovers before booking. Local Buddies support cultural exchange; they do not replace adult supervision.

For parents: provide two reachable emergency contacts and identify authorised people for collection.

Safeguarding & wellbeing

Make it easy for a child to raise a worry.

Confirm the safeguarding lead, staff checks and training, conduct boundaries and reporting route. Bullying, harassment and inappropriate contact require clear response and escalation procedures. Photo publication needs separate consent.

For parents: discuss language, emotional, accessibility or other support needs before confirming participation.

Activities & city visits

Set clear boundaries for outings and practical experiences.

The programme needs checks for venues, traffic, waterside areas, tools and cooking activities, with meeting points, headcounts, group rules and adult responsibilities. Unsuitable weather or local conditions may require changes, alternatives or cancellation.

For parents: review the final activity list and participation conditions. City guides and past photographs do not confirm this camp’s itinerary.

Accommodation, fire safety & Buddy families

Understand where children will stay and who takes responsibility.

Confirm the address, room arrangements, access controls, night-time support, evacuation routes and assembly points. Any overnight family stay needs household checks, written parental consent, the child’s agreement and an alternative arrangement.

For parents: decide after the hosting and handover arrangements are clear; raise any concern about overnight family stays early.

Food, allergies & dietary needs

Plan for meals, from teahouse visits to camp dining.

Declare allergies, intolerances and special diets in writing. Confirm suitable meal provision, ingredient information and cross-contact controls with the provider. An unchecked venue cannot be described as allergen-free.

For parents: discuss severe allergies or complex dietary requirements before confirming participation, rather than only on arrival.

Health information, medicines & emergencies

Ask for named people, practical procedures and contact details.

Before booking, confirm first-aid personnel and qualifications, equipment, medical facilities, transfer arrangements, parent notification and costs. Medicine storage and administration need a separate written agreement consistent with prescriptions and applicable requirements.

For parents: share necessary health information through an agreed private channel. Do not post medical records, prescriptions or children’s identity documents on public pages.

Parent communication & incident reporting

Separate routine updates from emergency contact arrangements.

Confirm update channels, parent contact times, incident records and notification procedures, and how children can raise concerns. The camp emergency number is not yet published; the email and phone on this site are programme enquiry contacts.

For parents: keep contacts reachable during camp and discuss language needs. The enquiry line is not a confirmed 24-hour emergency hotline.

Insurance, transport & preparation

Understand the scope of camp and travel arrangements.

Confirm service and transport providers, transfer coverage, insurance type, period, exclusions and claims process. Parents need to check travel documents, entry conditions and personal travel insurance against the final arrangements.

For parents: read the registration documents, insurance information and transfer plan before confirming travel and participation.

Before confirming a booking

  • Final programme, venues and age/participation conditions
  • Named adult contacts, duty arrangements and handover responsibilities
  • Accommodation and any Buddy-family overnight arrangements
  • Health and dietary information process, consent and support arrangements
  • First-aid, medical transfer, emergency contacts and insurance information

Ask questions before confirming participation. If essential arrangements or support needs cannot be resolved, discuss an alternative or defer the booking.
